Description of activities

Sjöparksskolan is a 6 parallel secondary school, with about 400 students and about 65 staff. The school is divided into two teams and each team is led by a principal and two first teachers. The school has an adapted primary school and a secondary school class for newly arrived pupils. The central student health service is located at the school and students have access to two school nurses and two counselors. The school also has a social worker who works mainly with students at group level. Every day, two recreation leaders and four school caretakers work to create meaningful recess activities for students. The staff and students have a high level of digital competence and we have two IT educators who are responsible for digital development. The school works a lot with our development areas and with increasing goal achievement for the students. At the school, two administrators work in close collaboration with each other, with principals, staff, students and guardians.

Work tasks

As an administrator at Sjöparksskolan, you will have a central and important role at our expedition where you act as our face. You will receive daily phone calls, emails and visits and help and guide students, colleagues, guardians, government officials and others with, for example, enrollment and discharge of students. You provide close managerial support to school leaders in areas such as pupil, staff, financial, information and authority administration (e.g. the grading process). You are responsible for mail management, archiving, student and staff files, etc. You work on handling invoices, reconciling budgets, managing payment and posting, as well as writing contracts and reporting salaries. You also manage purchases and keep track of procurement processes. Tasks related to staffing, such as booking substitutes, substitute planning and introducing new staff to administrative procedures are also part of the assignment.

The challenges

As an administrator, you need to be extremely flexible and be able to adapt quickly as we who work in the school live in a changing everyday life. At times, there are deadlines in the administrative work, which means that the workload on these occasions can be higher than normal.

Qualifications

We want you to have experience of administration and if you have experience of administration in schools, it is an advantage. A high school diploma is a requirement and appropriate post-secondary education is an advantage. You need to have good collaboration skills and be able to communicate in Swedish both in speech and writing. You need to be independent and you need to be able to plan and organize your work tasks. You need to have good IT skills in various systems - we work in Extens, Time Pool, Ådata, SchoolSoft, Skola24, Hypergene, Winlas and Visma, among others.

Within the framework of the National Minority Languages Act, Gällivare municipality is the administrative municipality for Sami, Meänkieli and Finnish. Knowledge of any of these languages is an advantage when applying for employment in Gällivare Municipality
