WORK TASKS As an administrative assistant within the rescue service, you will provide administrative support to the rescue service's operations and act as the spider in the web. You will work with internal and external coordination, administration and documentation. The role involves close collaboration with colleagues at the rescue service, within the environment and building administration, but also collaboration with other administrations and companies within the municipal group, as well as other authorities. You will be part of a network with the administration's and the municipality's other administrative assistants. You will work towards a common structure and be responsible for ensuring that the rescue service follows the necessary administrative regulations and processes through training and follow-up. Your work will include meeting bookings, meeting documentation, simple personnel administration, planning and purchasing. You coordinate and follow up on activities in the work environment, business planning, conferences and more. The position also involves record-keeping, reviewing and posting invoices, the rescue service's public email, travel administration and bookings. You will also produce presentation materials and write and publish news and documents internally. We take it for granted that you will contribute to developing, improving and streamlining working methods and processes. As an administrative assistant, you handle confidential information, which places high demands on proper handling. It is therefore important that you have a high level of security awareness. QUALIFICATIONS We are looking for an administrative star, who is driven and structured. You have the attitude that problems are there to be solved. As a person, you are unpretentious, responsible and proactive. You are used to interacting with people at different levels of the organization. You have three to five years of relevant work experience and a theoretical secondary education in social sciences, economics, administration, commerce or other equivalent field. You have an excellent command of Swedish, both spoken and written, and very good IT skills. You have experience working in the Office package, including using PowerPoint and Excel to manage data and simple analysis. Good knowledge of English an advantage. It is an advantage if you - have experience working in service or administration - have a relevant university or college degree - have experience in IT operations - have a good knowledge of the Office suite We attach great importance to personal qualities.
