Support and coordinate key project activities
As an Assistant/Coordinator, you will support and coordinate activities, communication, and administration across teams. You will handle administrative tasks such as organizing project reviews, action lists, and minutes of meetings. You will ensure clear communication related to the departments and full alignment of department managers' activities and calendars. Furthermore, you will act as the main point of contact for visits, orchestrating events, travel, and accommodation.
Your function will be to:
* Support the department with related administrative tasks, e.g., administration of investment reviews, scheduling of meetings and follow up actions.
* Coordinate activities and support with documentation and/or presentations including Word, Excel, and PowerPoint documents
* Provide department support including invoice handling, purchase orders, SAP, preparing documents for signing/approval, distribution, and archiving
* Prepare internal and external meetings, coordinate communication, conference rooms, catering, transportation, agendas, site visits, presentations, etc.
You will report directly to the investment management and work closely with various teams.
This position is based in Karlskrona.

To thrive in this role, you are highly structured and service minded with the ability to handle multiple activities simultaneously while making your own priorities. You take great accountability for your work and have a high sense of integrity and work ethic.
You also have:
* Knowledge of budgeting, forecasting, and financial analysis.
* Ability to work with financial systems and tools such as Excel, SAP, or similar.
* Administrative high school education with few years of experience in a similar role
* High proficiency in MS Office Applications, setting up video meetings, SharePoint, etc.
* Fluency in spoken and written Swedish and English
* Experience with document management systems and ensuring compliance with document standards
* Ability to support in various administrative matters, including communication, documentation, and customer service
