The mission of the Staff Training Pool is to support the administration's activities in managing short-term staffing needs. The pool administration performs tasks related to the employment of the pools and hourly pools. The staff pool consists of approximately 150 full-time pool members and a larger number of short-term temporary staff. The pool is managed by the Head of Operations and three Heads of Unit are responsible for the full-time temporary staff. Hourly substitutes and pool staff can be booked for all preschools and primary schools in the municipality. Poolers have full-time employment and are assigned bookings, hourly substitutes choose which shifts they are booked for. Hourly substitutes are available for upper secondary schools in addition to pre-schools and primary schools. The head of operations of the staff pool is the immediate superior of the staff pool heads of unit and the pool administration. Your tasks As a member of our staff, you will work operationally to ensure support in the recruitment of pool members and hourly workers. You will provide telephone support internally and externally and support the businesses. You handle personnel administrative tasks regarding the employment and salary of hourly workers. You will also have follow-up and continuous dialog with the heads of unit for the staff pool and the businesses we support. You will actively participate and contribute with your skills in development and improvement projects in the area. As a Staff Pool Administrator, you will provide close administrative support to Heads of Unit, Pre-schools and Primary Schools and act as the "spider in the web" for the Staff Pool. The work is varied and includes routine tasks as well as more advanced tasks as described below: Managing short-term needs Managing the organizations' own intermittent staff Loop (phone/email/case portal) Liaison with external staffing agency Payroll certification Absence registration System administration Follow-up of hourly workers Salary review Administrative support to staff pool unit managers About you We are looking for you who have at least an upper secondary education and have experience in administrative work within the next two years. As a person, you are enterprising, service-oriented, flexible, structured and orderly. You can work independently with several tasks in parallel where you have your own drive, can see the big picture and make relevant priorities in the work. You have good collaboration skills and can deal with colleagues, poolers, hourly workers and preschool and primary school principals/regular staff in a good and service-oriented way as you are also the face of Personalpool utbildning. You are proactive and energetic and can use Personec P, Multiaccessen and Time Care pool. To thrive with us, you are stress-resistant and unpretentious.
