About the role

Vattenfall Värme Uppsala is responsible for heating, cooling and steam production in Uppsala, Knivsta and Storvreta. We heat 95 percent of all properties in Uppsala's urban area, mainly through energy-recovered waste from households and industries as well as residual products from forests.

As a manager's assistant with us, you will have a key role in facilitating the work of managers. You will mainly support an experienced management team responsible for the Operations, Maintenance and Environment and Facilities Development functions. You will also support managers in other functions at the site such as the joint technology department.

In addition to close collaboration with managers and other assistant managers, you will also handle external contacts. Our Uppsala site receives approximately 800 visitors annually and you will be responsible for planning and coordinating these visits.

You will, among other things to:

  • Participate in the management team
  • Administrative tasks and a large responsibility for planning
  • Prepare meeting materials, agenda, presentations, mailings and write minutes
  • Plan and coordinate visits to the facility
  • Super user and trainer in document management systems
  • Training coordinator

In this role you will have great opportunity to shape and develop your work processes.

Requirements

  • Experience as a manager's assistant
  • Experienced in Office 365 and Sharepoint
  • Good knowledge of Swedish and English in both speech and writing

It is meritorious if you have

  • Experience with SAP
  • Experience with EasyDMS or other document management system
  • Experience in education administration

We are looking for you who are self-motivated and thrive in a role where you get to work in a structured and proactive way to anticipate needs and prepare for upcoming tasks. You are used to keeping track of several things at the same time and have the ability to identify problems and find creative solutions. You are comfortable in handling various technical tools and systems, such as calendar management, email and documentation systems.
